From time to time your Webmaster is asked "How may I submit photos or other material for use on the Fanac web site?". The following information is being provided in an attempt to answer those questions. Unfortunately these instructions will seem to be overly detailed to some but, because of the way that this site is maintained, this level of detail is necessary.
There are a number of ways that you may submit photos for inclusion on photo submissions must include a release from the owner of the photos that allows Fanac, Inc., to publish those photos on its web site. They should also include captions for the photos and, if possible, information about the convention or other fan activity that was taking place at the time. For example:
When submitted photos are received they are put into one of the site's "private" areas prior to their being moved to one of the photo albums in the "public" area of the site. This is done to allow our editorial board and the person who submitted the photos to review them and to make any changes to the photo's information that they think is required. When you submit photos, please feel free to make any changes that you feel are needed while those photos are in the "private" area, that's why they are there.
The easiest way to submit photos is via e-mail. Each photo should be in jpeg format and attached to a message addressed to fanac@fanac.org. The subject line of the message should contain the occasion (that is; the convention, SF happening, etc.) and the body of the message should contain the photo's caption, including the photographer's name if it is not you, and any other information that seems pertinent. It is not necessary to include the photo's file name nor the occasion in the caption.
Alternatively you can send more than one photo per e-mail message but please try to keep the total size of the message to something reasonable. In this case the e-mail message should be structured much the same as for a single photo except that there should be one caption for each attached photo and each caption should be preceded by the photo's file name.
The jpeg file's names should be limited to the DOS 8.3 format. That is, one to eight alphameric characters followed by ".JPG". The names that you choose need not be overly fancy, they should be structured so that you can keep track of what you have sent. Because the site has its own naming convention for photos the names that you assign will be changed when the photos are placed in the appropriate "public" area for viewing.

The disk should be structured so that the photos by a specific photographer for a specific SF occasion are grouped together in the same directory. If you are creating the disk under the Windows Operating System please use long Windows file names for the directory names and for the photo file names.The directory names should indicate the photographer's name or the SF occasion. For example a Zip disk that contained photos from a single photographer taken at three different Worldcons might be structured like this:

When you are using Windows to create the Zip disk you may use long Windows file names to pass each photo's caption. For example naming a jpeg photo file "Joe Siclari caught streaking across the convention hotel's lobby.jpeg" is a perfectly acceptable file name and will serve to pass the caption for processing.
If you are not using Windows, or you prefer not to use the long Windows file names for some reason, then please include a text file (.TXT) in each directory that contains the captions for all the photos in that directory. Each caption must be preceded by the corresponding photo's name.
If you don't use long Windows file names for the directories then the text file should start with the SF occasion that the directory contains.
To use anonymous FTP you need to create a directory structure that is the same as if you were writing to a Zip disk as described above. Then, use the compression program of your choice, WIN-ZIP if you are running under Windows and have used long windows file names, to compress this directory structure into a single file. The resulting file should then be uploaded to fanac.org's anonymous FTP directory and the Fanac Webmaster notified. You need to contact the Fanac Webmaster to obtain detailed instructions for accessing fanac.org via anonymous FTP.
